Run a payroll function people can rely on
Reviewed November 3, 2026 · about 25 minutes · original P.A.Y. learning
What you will practice
- Write an actionable exception handoff.
- Use balanced service measures rather than speed alone.
- Plan ownership, cutoffs and backup coverage.
Make ownership visible
A payroll calendar should identify the action, accountable owner, input needed, deadline and escalation route. A reminder without an owner can leave a task untouched. Distinguish an internal cutoff from an employee legal entitlement; a late approval does not settle whether wages are owed.
Measure the service, not just the button press
Useful measures include timely completed cycles, first-pass accuracy, unresolved exceptions and response time for employee questions. Define each measure consistently. A faster process can be worse if it creates more corrections or leaves employees uninformed.
Communicate facts and the next step
When an employee reports a difference, acknowledge the question, identify the pay date and line involved, and explain what will be reviewed. Give a realistic next update time. Do not promise a corrected amount or payment date before the cause, authority and applicable requirements are established.
Build coverage that can operate
A coverage plan should let another authorized person find the latest approved files, follow the runbook and identify an unresolved item. Cross-training is more useful when it includes an observed practice and review of results. Keep approval independence intact while arranging backups.
Review before you move on
- Define the owner, due time and escalation.
- Balance accuracy, timeliness and employee experience.
- Separate verified facts from a proposed resolution.
- Test the coverage process with an authorized backup.
