Move clean data through the payroll system

Reviewed November 3, 2026 · about 30 minutes · original P.A.Y. learning

What you will practice

  • Reconcile a file at count, amount and employee levels.
  • Test effective-dated changes and boundary cases.
  • Choose a controlled recovery after an uncertain submission.

Define the handoff contract

For a fictional hours file, define employee key, period, unit, earning code, department and effective date. Document whether a row is additive, a replacement or a reversal. An accepted file can still contain rejected rows; a successful upload is not proof that every employee was updated.

Reconcile three levels

Begin with record counts and control totals, then compare employee/code detail and investigate exceptions. Counts can match even when two employees have exchanged amounts. Totals can match when one record is missing and another is duplicated. Preserve the exact export and the import result, not just the latest report.

Test the boundaries

Choose a change before, on and after its effective date. Include a new hire, a terminated worker, a limit crossing, a missing identifier and a duplicate row where relevant. Compare expected results with actual results before approving a configuration change. A screenshot of a settings page is not a calculation test.

Recover without making a second payment

If a submission times out, keep its reference and investigate the authoritative result before retrying. Distinguish a local screen failure from an absent provider transaction. Recovery should use the established runbook, controlled access and evidence of what already completed. Only an authorized process should change production data.

Fictional example: totals that look right

The export has 100 employees and 4,000 hours. The import also shows 100 employees and 4,000 hours. Employee 99001 lost eight hours and employee 99002 gained eight. The grand total does not reveal the error; an employee-and-code comparison does.

Review before you move on

  • Specify identifiers, units, dates and row semantics.
  • Compare counts, totals and employee detail.
  • Test boundary and failure cases.
  • Reconcile uncertain outcomes before repeating a submission.
